Photo Identification Card

The Lakehead University Photo ID Card (the "Card") is the official means of identification at Lakehead University for administrative, security, and academic purposes. The University requires all students, faculty, and staff to have an official, valid University Photo ID Card on their persons when on campus. Your receipt and continued possession and use of the Card mean that you agree without qualification to all the "Terms and Conditions for Possession and Use of the Lakehead University Photo ID Card".

All students, faculty and staff at Lakehead University are required to have on their person a University Photo Identification Card while on campus.

Getting or replacing your ID Card


Students

All new students must apply for a student card online. A student card application is required to ensure complete and accurate information in the school directory.

Student cards are only required while on the campus. Students do not need a Student card to study remotely or for online midterm/final exams. 

At this time, we are only able to accept online applications under the following conditions:

  • You have followed all application instructions accurately.
  • This is your first time requesting a student ID card.
  • You have registered for classes at least 24 hours before submitting this application.

How does this work?

All you need to do is read and follow all instructions, then login to the form using your lakeheadu email account.

Once you have submitted your Student card application, you will be contacted with instructions for pickup. If you have any questions, please email photoid@lakeheadu.ca for more information.

What are the photo requirements?

In order to process your card, we need you to submit a photo of yourself to us. Please ensure that your photo meets ALL of the following specifications:

  • You must provide a passport style photo (smiling allowed and encouraged).
  • Your photo must reflect your current appearance.
  • Your face must be fully and clearly visible (no sunglasses or hats).
  • Your photo must be centred and taken straight on, with face and shoulders centred and squared to the camera. No angles!
  • Your photo must have uniform lighting and not show shadows, glare or flash reflections, or have filters added.
  • Your photo must be clear, sharp and in focus.
  • Your photo must be in colour with a uniform plain background (no objects or people in the background).
  • Your photo must not be digitally altered (we will crop and resize).

We will ask you to resubmit an application or insist you get your card produced in person if your photo does not meet all of these requirements. If we need to produce another card for you at the time of pick-up (e.g. your picture did not reflect your current appearance) we may charge you a $25.00 replacement fee.

Faculty & Staff

All staff and faculty employed at Lakehead University are required to have a University Photo Identification Card while on campus. After Human Resources has processed your employee information (you have a LU email address and staff number), please email photoid@lakeheadu.ca to request your card.

If you need to replace a lost or damaged card, you must again ask Human Resources to provide permission. There may be a $25.00 charge for replacement cards payable at the Chancellor Paterson Library.

  2. Please include the following information:
    • Name
    • Lakehead email address
    • Student ID number
    • Are you staying in Residence?
    • Is this a request for a replacement card? If yes than if you have lost or broken your card etc. the replacement fee is $25 and is to be paid before requesting a new card.
    • Attach a photograph of yourself
  3. Your photo...

  4. If any of the requested information is missing you will be contacted by email.
  5. You will be emailed by the Campus Store, when your card is ready.

Please Note: Students must be registered for classes prior to getting their ID Cards. All registered student information is downloaded into the Photo ID System. If your name and student number cannot be found in the Photo Id System, you must present a Lakehead University registration document with your name and student number on it, as proof of registration. Or, you can get a Photo ID Permit form from the Registrar’s Office.

If you are a Distance Education student who has registered for classes, you can request a Student Photo ID Card online. To do so you will need your student number, name and address information along with a digital picture saved as a jpeg (Colour picture, bust shot from the waist up). You must e-mail this information and picture using your Lakehead University student e-mail account to circdesk@lakeheadu.ca. Your information will be verified and a Lakehead University Photo ID Card will be mailed to you.

What's my card used for?

Library Card

Your photo ID Card is your library card. After you receive your Card, you must present it to the Library Circulation Desk for library privileges.

Photocopy card

Credit can be added to your Student Card to enable you to photocopy on any public photocopier on campus. You can add money to you Card at any Library location.

Student Union functions

Students may be asked to present a valid Student Photo ID Card to gain admittance to various functions.

Campus Food services

Your Card is used for declining balances and meal plans. Residence students on the meal plan present the Card to Cafeteria staff when entering the Residence Cafeteria. Students can also add money to their card to be use as a declining balance. The declining balance can be used in any food services and coffee shops on Thunder Bay campus and Dining Hall and Kiosk on Orillia Campus. The card works similar to a debit card, each time you make a purchase the total cost of your meal is subtracted from the dollar balance on your account.

Exams

Every student must present a Lakehead University Photo ID Card to be permitted to write exams.

Thunder Bay and Orillia transit systems

As part of your student fees, all full time university students are allowed unlimited ridership on the Thunder Bay and Orillia Transit Systems. The University Photo ID Card will have a sticker placed on the card for fall and winter terms. Please see the Student Union website for more information on the Thunder Bay or Orillia U-Pass.

Athletic Facilities

All those wishing to use the facilities must check in at the Central Check in located on the upper level. Students must show their Student Card or Membership Tag. Your card or tag will be scanned and information verified. You will then be buzzed to the lower level. Please see the Thunder Bay or Orillia Thunderwolves website for more information.

Does my ID card expire?

ID cards do not need expiry stickers or validation stickers. Your card is valid for as long as you attend or work for Lakehead University.

I've lost my card what do I do?

Follow the regular steps for obtaining an ID card but please keep in mind that the replacement fee is $25 and is to be paid before requesting a new card.

I'm a returning student, do I need a new card?

Returning students do not need a new Photo ID Card unless their current Card is lost, stolen, or damaged.

How do I obtain a public, contractor or service area badge?

Staff working in public or service areas may be required to wear badges identifying them as members of a University department The badges differ from the Lakehead University Photo ID Cards in that, only the department and first name is printed on the Badge.

All contractors working at the University must wear a University Badge identifying them and the companies for which they are working.

Departments requesting badges must e-mail the Photo ID department in the Chancellor Paterson Library with a list of staff names and, in each case, the employee ID number, the department’s name, expiry date of the Badge, and all other information necessary to produce a badge.

The costs associated with producing the badge will be charged to the budget of the department requesting the badge. Please check with the Circulation desk for more details.
