Reporting to the Dean of the Faculty of Engineering, the Engineering Graduate Administrator is an integral point of contact for both prospective students and current students regarding the graduate programs in the Faculty of Engineering.
The Engineering Graduate Administrator is the day-to-day manager, administrator, coordinator, advisor, and support for the graduate program in the Faculty of Engineering; providing critical assistance and support to prospective graduate students, graduate students, and the Graduate Coordinators.
The Engineering Graduate Administrator is responsible for the administrative management of all activities associated with the graduate program. The Administrator assists each Graduate Coordinator with wide range of administrative processes including preparation, review and preliminary assessment of admission applications, monitoring academic progression of graduate students, special permissions and other registration/scheduling issues.
The Engineering Graduate Administrator is the administrative link between the graduate program in the Faculty of Engineering and the Faculty of Graduate Studies, Enrolment Services (including the Student Awards and Financial Aid), Accounts Receivable and Human Resources.
Qualifications:
• Post-secondary degree (preferred) or diploma in a related field, plus 5 years’ experience with progressively
increasing levels of responsibility and leadership in a post-secondary setting working directly with students.
• Knowledge of human rights; duty to accommodate and competing rights
• Knowledge of University Sexual Violence and Response Protocol
• Mental Health First Aid training and ability to deal with students in personal crisis
• Ability to manage and complete multiple tasks in a timely manner
• Ability to organize, and maintain accurate records and files
• Strong interpersonal and communication skills with ability to work across a range of constituencies
(e.g. students, faculty, Chairs, Dean, other stakeholders across the University)
• Ability to prioritize, solve problems, and maintain confidentiality
• Ability to interact professionally and tactfully with a diverse range of individuals and in a wide variety of situations
• Ability to collect and compile data, develop spreadsheets, analyze, interpret, evaluate and summarize
large amounts of data
• Strong writing skills; ability to develop print materials, writing for the web and social media
• Excellent listening skills with the ability to discern whether there may be issues/matters that are unstated
• Sound judgement, tact, diplomacy; strong attention to detail
• Ability to develop educational and promotional materials and deliver workshops, sessions and training
that speak to variety of stakeholders and diversity in audiences (e.g. prospective students, students,
faculty, chairs, etc.)
• Knowledge and understanding of both University and Faculty of Engineering regulations
